How to prepare your photo or signature

  1. Choose your picture. A photo, or a picture of your signature on white paper. It stays on your device.
  2. Type the numbers from your form: the width and height (in pixels, or in cm, mm or inches), and the smallest and largest file size in KB. Every form is different, so use the numbers in your own instructions rather than anyone else's.
  3. Set it up. For a photo, drag it into position and zoom so your face is centred in the frame. For a signature, leave Trim and Clean up on.
  4. Click Resize and compress, check the green ticks, and download. The JPG is exactly the size you asked for and inside your file-size range.

Where to find your form's exact numbers

They are in the official notification or instructions for your exam or application, usually in a section called photo and signature specifications, or on the page where you upload them. It will give the size (in pixels or centimetres), the allowed file size range, and the format, which is usually JPG. Requirements change from one exam and year to the next, which is why this tool doesn't assume any: it prepares the file to whatever your form says.

Why uploads get rejected

  • The wrong dimensions. Even a few pixels off can be refused by a strict form.
  • The file is too big, or too small. Many people only know about a maximum, but forms often have a minimum too. A very small, very compressed picture can fall below it.
  • The wrong format. Most forms want JPG, and a PNG renamed to .jpg is still a PNG.
  • A shadowy or grey signature. A signature photographed on crumpled or shaded paper looks faint once it is made small.
  • A badly framed face. A head cut off at the top, or far too small in the frame.

Tips for a good photo

  • Use a plain, light background and even light on your face, with no shadows across it.
  • Look straight at the camera with your face centred, and keep your head and shoulders in the frame.
  • Take it at a higher size than you need and let this tool shrink it. Shrinking looks better than enlarging.
  • If the background isn't plain, the AI Passport Photo Maker can replace it with white or a colour, using 2 credits.

Tips for a good signature

  • Sign with a black or dark blue pen on plain white paper, and photograph it in daylight, straight from above.
  • Keep Trim on, so the signature fills the frame instead of floating in empty paper, and Clean up on, to turn shadowed paper white.
  • Use the signature you normally sign with, since it may be compared with your other documents.

About the file size, in KB

Forms don't all agree on what a kilobyte is. Some count 1 KB as 1,000 bytes and others as 1,024. To be safe under either, this tool keeps your file at least the minimum counted the larger way and at most the maximum counted the smaller way, so it passes whichever your form uses. If your picture compresses to less than the minimum, the tool adds invisible padding (standard JPEG comment data) to reach it. The picture itself isn't changed, and the page tells you when it has done this.

Frequently asked questions

Does this work for any exam or government form?

Yes. You type the width, height and file-size range from your own form, and the tool prepares the file to match. It doesn't contain any particular exam's rules, so it can't be out of date.

Is my photo uploaded anywhere?

No. The picture is opened, resized and compressed inside your browser, and nothing is sent to our servers.

Why did the tool say it added padding?

Your form has a minimum file size and the picture compressed to less than that. Invisible comment data was added to the JPG to reach the minimum, and the picture itself is untouched. Forms that check the size accept it.

Can it change my background to white?

Not this tool, but the AI Passport Photo Maker can, and its result can then be sized here. For a signature, the Clean up option makes the paper white.

What if my picture can't get small enough?

A very detailed picture, such as a busy background or a noisy dark photo, may not fit a small limit at the size you chose. Use a plainer picture, take it in better light, or check that your numbers are right.

Can I get a PNG?

This tool makes JPG, which is what most forms ask for, and it is the format where file size can be controlled.

My photo is a HEIC file from an iPhone.

Is it free?

Yes, with no sign-up and no limit on how many pictures you prepare.
