How to Reduce PDF Size for Government & Job Portals
Government portals, job applications and university forms almost always cap document uploads: 100 KB, 200 KB, 500 KB, or 1–2 MB. A phone scan of a mark sheet is usually 3–8 MB, so it gets rejected. Here's how to bring any PDF under the limit without making it unreadable.
Common limits you'll meet
| Where | Typical limit per document |
|---|---|
| Exam and recruitment forms (certificates, caste / EWS, NOC) | 100–500 KB, sometimes 1 MB |
| Scholarship portals | 200 KB – 1 MB |
| Passport, Aadhaar, PAN and other ID services | Often 1–2 MB; some fields under 300 KB |
| Job portals (resumes) | 1–5 MB |
| Email attachments | About 20–25 MB in total |
Limits change by portal and even by field — always read the line under the upload button.
Why scanned PDFs are so big
A PDF made from phone photos is really a stack of large images: a 12-megapixel photo per page, in full colour, at high quality. The text itself takes almost no space. So making it smaller is mostly about shrinking those images: lower resolution, grayscale for black-and-white documents, and stronger JPG compression.
The quickest way: compress to an exact size
- Open Compress PDF to Size (or the ready-made 100 KB, 200 KB and 500 KB pages).
- Choose your PDF and type the target, for example 200 KB.
- Download the result and check the size shown. Open it once and zoom in to make sure the text is still readable.
Everything runs in your browser — your documents aren't uploaded to a server.
If it still won't go small enough
- Split it. Portals often want one document per field. If you scanned several certificates into one PDF, use Split PDF and upload each separately.
- Remove extra pages — blank backs of pages and instruction sheets add size for nothing.
- Re-scan cleanly. A flat, well-lit scan with a white background compresses far better than a shadowy photo. Scan to PDF straightens and whitens pages using your phone camera.
- Start from images. If you have the photos, Image to PDF under a size builds the PDF and hits the KB limit in one step.
Merging several documents into one PDF
Some forms want a single file containing, say, all mark sheets. Use Merge PDF first, then compress the merged file to the limit — compressing each part separately and then merging can push the total back over.
Mistakes that get documents rejected
- Unreadable text after squeezing too hard — officials can reject a document they can't read. If 100 KB makes it blurry, split the pages instead.
- Password-protected PDFs — most portals can't open them. Save without a password.
- Sideways pages — fix them with Rotate PDF before uploading.
- Wrong format — if the field says JPG, upload a JPG (use PDF to JPG), not a PDF.
